Practical technical stewardship

Someone needs to take responsibility.

Smaller organisations often depend on the same systems as much larger ones, but without an internal specialist to configure them, secure them and keep track of what has changed.

Vivify provides that continuity. We learn how your organisation works, document the important parts and handle the day-to-day administration that otherwise falls between a busy manager, an external supplier and whoever happens to know the password.

This is deliberately a personal service. You deal directly with an experienced technical practitioner, not a ticket queue where every request begins from scratch.

What we manage

The essential platforms around your organisation.

01

Microsoft 365 administration

User accounts, licences, groups, shared mailboxes, domains, access policies and the everyday changes that keep Microsoft 365 usable.

02

Email and cloud platforms

Administration and migration support for Google Workspace, Zoho, Migadu and other platforms chosen to fit the organisation.

03

Security and access

Multi-factor authentication, appropriate administrator roles, account lifecycle, recovery arrangements and safer supplier access.

04

Website hosting and care

Dependable hosting, domains, DNS, backups, Cloudflare configuration and ongoing support for websites Vivify knows and maintains.

The everyday work

Small changes. Important consequences.

Most managed-service work is not dramatic. It is a steady stream of decisions and changes that need to be completed accurately, recorded properly and treated with the appropriate level of care.

An established client relationship

Parkwood Care

Vivify manages Microsoft 365 for a care organisation with approximately 85 employees—providing continuity across user accounts, licences, access, security and the practical changes that accompany a busy workforce.

The value is not a flashy dashboard. It is knowing who to contact, knowing the system is understood and knowing that routine changes will be handled with care.

How support starts

Understand first. Take responsibility second.

Existing systems need to be inspected before anyone promises to support them.

  1. 01

    Review

Understand the organisation, platforms, users, suppliers, risks and current administrative arrangements.

  2. 02

    Stabilise

Resolve immediate concerns, establish secure access and agree what sits inside or outside the service.

  3. 03

    Document

Record the essential configuration, recovery routes, responsibilities and repeatable procedures.

  4. 04

    Manage

Handle agreed requests, advise on changes and keep the organisation's systems under experienced oversight.

A good fit

You need continuity, judgement and a direct line.

  • You are a smaller organisation without dedicated in-house expertise
  • Your email, accounts or website are operationally important
  • You value sensible advice and an ongoing relationship
  • You are willing to follow proportionate security requirements

What this is not

Not an outsourced corporate helpdesk.

  • No 24/7 monitored support desk or guaranteed emergency response
  • No laptop repairs, printers, cabling or general hardware support
  • No anonymous support tiers or large pool of interchangeable technicians
  • No promise that responsible security removes every business risk

Clear monthly scope

Support priced for the organisation you actually have.

Managed services are quoted around user numbers, platforms, complexity, risk and the level of ongoing involvement required. Third-party subscriptions are shown separately, so the service fee and licence costs remain clear.

A proposal will define

  • The platforms and users covered
  • Included administration and support
  • Response arrangements and business hours
  • Work that would be quoted separately

Practical questions

Before handing over the keys.

Often, yes. We begin with an inspection of the tenancy, administrative access, licences, domains and security position. Any essential remedial work is identified before the ongoing service begins.

Where appropriate, licence costs can be paid by Vivify on your behalf and itemised separately. The proposal makes clear how subscriptions are purchased, billed and changed.

Vivify does not operate a 24/7 monitored helpdesk. Genuine critical incidents may be handled outside business hours where availability allows, under the terms and emergency rate set out in the managed services agreement.

Not as a general service. Vivify manages agreed cloud platforms, accounts, hosting and related configuration. Laptops, printers, local networks and other hardware remain with the client or a suitable specialist supplier.

Administrative access and relevant information are handed to the client or nominated successor in accordance with the managed services agreement. Good stewardship includes making an orderly handover possible.
